This Confidentiality Policy describes how APPGRADE Sp. z o.o. (trading as SPEEDx, NIP: PL6342979935, Katowice, Poland) handles the confidential and commercially sensitive information entrusted to it by its clients in the course of providing procurement intelligence services. By using the SPEEDx platform, the Client acknowledges and agrees to the terms of this Policy.
Our core commitment: The tender documentation, freight rates, carrier data, lane information, and all other commercially sensitive materials you submit to SPEEDx are yours. We use them solely to deliver the services you requested. We never share, sell, or use your data for any other purpose.
1What We Consider Confidential
SPEEDx treats the following categories of Client information as strictly confidential:
- Tender documentation of any kind — RFQ, SOP, TSC, annexes, historical shipment data, and any other documents uploaded to the platform.
- Freight rate data, carrier names, pricing structures, and commercial terms contained within submitted documents.
- Transport lane data — loading and delivery locations, postal codes, country pairs, volumes, and equipment requirements.
- Company identification data — legal name, VAT ID, registered address.
- Contact persons — names, business email addresses, and business phone numbers of authorised representatives.
- Any business strategies, bid decisions, or procurement processes inferred from or discussed in connection with submitted documentation.
2How We Use Your Confidential Information
Confidential information submitted to SPEEDx is used exclusively for the following purposes:
- Generating the requested analysis outputs — C-Level Executive Summaries, B-Level document analyses, geocoding results, and lane distance calculations.
- Delivering results to the Client — sending reports, notifications, and results to the authorised email address on the Client’s account.
- Maintaining the lane distance cache — country-pair and postal code routing data is stored in anonymised form (without client identification) to optimise future processing and reduce costs.
- Platform support and troubleshooting — in limited cases, authorised SPEEDx personnel may access submission data to diagnose processing issues, always under strict confidentiality obligations.
We do not use your data to train AI models, benchmark against other clients, share with competitors, or for any marketing or commercial purpose beyond service delivery.
3Data Isolation and Multi-Tenancy
The SPEEDx platform operates as a multi-tenant SaaS environment. Each Client’s data is strictly isolated through logical access controls. No Client can access, view, or retrieve data belonging to another Client at any point during or after processing.
The lane distance cache contains only anonymised routing data (country codes and postal code pairs with corresponding distances). It contains no reference to the originating Client, the tender name, or any commercially sensitive information.
4Third-Party Service Providers
To deliver its services, SPEEDx uses a limited number of carefully selected third-party processors. These processors access Client data only to the extent strictly necessary to perform their designated functions:
- Google Workspace / Google Drive — secure cloud storage for uploaded documents and generated reports, accessible only to the originating Client.
- OpenAI — AI model used for document analysis. Submitted document text is processed under OpenAI’s API data processing terms; data is not used to train OpenAI’s models under applicable enterprise API terms.
- HERE Technologies — geocoding and routing API used for lane distance calculations. Only coordinate data and postal codes are transmitted; no company or tender information is shared.
- n8n Cloud — workflow automation platform used to orchestrate the processing pipeline, hosted within the EU.
All processors are contractually bound to process data only on SPEEDx’s documented instructions and to maintain appropriate confidentiality obligations.
5Retention and Deletion
- Uploaded tender documents and submission data are retained for 90 days from the date of submission and then permanently deleted.
- Generated reports (C-Level, B-Level) stored in the Client’s Google Drive folder remain accessible for as long as the Client’s account is active. They can be deleted by the Client at any time.
- Anonymised lane distance data (without client identification) is retained in the distance cache indefinitely for service optimisation purposes.
- Account and contact data is retained for the duration of the active account relationship and for 3 years after account closure.
6SPEEDx’s Own Confidential Information
By using the SPEEDx platform, the Client gains access to information that is proprietary and confidential to APPGRADE Sp. z o.o., including the platform’s workflows, algorithms, prompt architecture, and analytical methodologies. The Client agrees to:
- Not disclose SPEEDx’s methodologies, processes, or technical implementation to any third party.
- Not attempt to reverse-engineer or replicate the SPEEDx platform or its analytical processes.
- Use knowledge of SPEEDx’s internal workings solely for the purpose of evaluating or using the service.
These obligations survive the termination of the Client’s account for a period of five (5) years.
7Breach and Remedies
In the event of an actual or suspected confidentiality breach, SPEEDx will notify the Client without undue delay. SPEEDx reserves the right to take appropriate measures including suspension of access and legal action where necessary to protect its clients’ confidential information or its own proprietary data.
8Governing Law
This Policy is governed by Polish law. Any disputes shall be resolved before the courts competent for the registered office of APPGRADE Sp. z o.o. in Katowice, Poland.
